The Pre-operative Assessment Admissions Officer provides comprehensive administrative and coordination support to the POA department. The post holder is responsible for managing patient bookings, maintaining accurate and confidential records, and ensuring the efficient flow of information between patients, clinical teams, and administrative staff.

Working within a high-volume, fast-paced environment, the role requires effective communication, prioritisation, and organisational skills to support safe, timely, and high-quality patient care.

Key Responsibilities

Administrative Support

  • Act as a central point of contact for all POA-related enquiries (internal and external).
  • Provide high-quality administrative and secretarial support to the department.
  • Coordinate maintenance and repair of office equipment.
  • Monitor and order office supplies, liaising with Procurement as required.

Patient Booking and Coordination

  • Schedule patients into appropriate pre-assessment clinics in line with clinical requirements.
  • Liaise with clinical staff to coordinate patient pathways and appointment availability.
  • Provide patients with clear, accurate information regarding appointments, procedures, and services.

Records and Documentation Management

  • Maintain accurate, complete, and up-to-date patient records in accordance with hospital policies.
  • Prepare patient documentation for clinical teams, ensuring all required information is available in advance.
  • Ensure all clinical forms are up to date

Email and Workflow Management

  • Monitor departmental inboxes and prioritise correspondence appropriately.
  • Identify and escalate urgent or high-priority communications.
  • Maintain oversight of daily worklists, ensuring all required actions are completed.

Reporting and Data Management

  • Collect, input, and maintain accurate departmental statistics.
  • Prepare reports as required to support operational and clinical oversight.
  • Ensure data accuracy and completeness across all administrative systems.

Key Skills / Qualifications:

  • Experience in an administrative or patient-facing role
  • Experience managing high-volume workload; knowledge of admin systems; understanding of data protection
  • Excellent organisational and time management skills, strong communication and interpersonal skills
  • Professional, reliable, customer-focused, team player
