Location: Home Based - Occasional travel to Park Farm, Oxfordshire, OX5 3JQ

Contract Type: Permanent

Hours: 37.5 hours per week, working shifts between the hours of 8.00am and 6.00pm covering 5 days per week Monday to Friday.

Salary: £24,000 - £26,000 depending on experience

The Dermatology Partnership is a growing group of private clinics, who are trusted experts in dermatology and are now part of Bupa Health Services. We are looking for a Central Administrator Team Member to support our busy dermatology clinics and central bookings team. This role is primarily home‑based, with occasional support required at clinic locations.

Role Responsibilities:

  • Managing shared clinic inboxes and responding to patient enquiries in a timely and professional manner
  • Booking, rescheduling and cancelling appointments in line with clinic procedures
  • Coordinating patient administration, including referrals, correspondence and documentation
  • Supporting the processing of test results, reports and clinical information accurately
  • Liaising with clinicians, laboratories and internal teams to ensure effective coordination of care
  • Supporting payments and refunds where required
  • Patient letters - undertaking all necessary admin to ensure patients letters/results are shared with patients, referring doctors and/or GP via clinic protocol.
  • Ensure an accurate audit trail around all patient documentation and communication. All documentation via email such as referrals, hospital letters, results etc.
  • All referrals (electronic or postal) are to be managed as per clinic protocol prior to contacting patients. This ensures not only good customer service but also reduces a potential for incidents and mistakes to occur.
  • Coordination as per protocol of the clinics email - or any give inbox going forwards.
  • Understanding of internal referral process and adhering to it.

About you:

  • Proven administrative experience in a fast-paced environment
  • Highly organised with excellent attention to detail and accuracy
  • Confident communicator with a professional, patient-focused approach
  • Able to work independently, manage workload effectively and use initiative
  • Comfortable working across multiple systems and handling a high volume of tasks
  • Previous healthcare or clinical administration experience is desirable
