Health Promotion Distribution Coordinator

Location: Bupa Office in Staines - 4 Pine Trees, Chertsey Lane, Staines TW18 3DZ
Contract: Permanent - Part-Time

Hours: 20 hours per week - Monday to Friday

Salary: £26,000 per annum (Full Time Equivalent, pro rata for part time hours)

This role sits within Bupa Health Clinics On-Site Services Team and reports into the Workplace Health Operations Manager.

The team delivers a robust, efficient and smooth service to Bupa's corporate customers.

The Role

As the Co-ordinator, you will play a vital role in supporting the operation of this department. This position would suit a reliable team player who is able to multi-task, prioritise workload, and meet deadlines while maintaining high service standards in a fast-paced environment.

You will support the Health Promotions Team. This includes responsibility for distributing all health assessment equipment to on-site clients, working closely with couriers to ensure safe and timely delivery, and ensuring that the equipment is returned to the Staines site following completion of clinics.

You'll help us make health happen by

  • Act as the key point of contact for any internal or client enquiries
  • Manage the distribution of the service line, including preparing equipment and documentation for dispatch
  • Carry out day-to-day oversight of the distribution centre
  • Monitor and manage stock levels
  • Co-ordinate client bookings, liaise directly with clients to organise clinics, update booking information, and maintain all relevant schedules and systems
  • Maintain the mailbox and escalate queries to the appropriate team members where required
  • Complete general administrative duties including filing, archiving, and arranging couriers
  • Provide regular uptake reports to clients and Account Managers within the required service level agreement
  • Invoice clients using Bupa's in-house system
  • Work with couriers to manage accurate and timely delivery and collection of equipment
  • Assist with any other duties that the department may require

Key Skills / Qualifications needed for this role

  • Logistics and planning experience preferred
  • Strong communication skills
  • Customer service experience would be an advantage
  • Attention to detail
  • Excellent IT skills (must be confident using Excel & Word)
  • Work well under pressure to deadlines
  • Ability to multi-task
