Role Overview

Providing a comprehensive and highly confidential PA service for your Director(s) and to ensure a professional and high standard of service is maintained throughout.

You'll help us make health happen by:

  • Ensuring emails requiring responses are dealt with promptly, filtering out any unnecessary correspondence and dealing with any that do not require the Director's attention.
  • Receiving, interpreting and investigating internal/external mail and responding/preparing responses on behalf of the Director as necessary.
  • During their absence, review all incoming emails and deal with as appropriate.
  • Managing the Director and direct reports (as required) and prioritising workloads according to business needs in conjunction with diary commitments.
  • Preparing the Director and direct reports (as required) for meetings/presentations as necessary.
  • Attending team meetings with Director(s), take actions, issue minutes and follow up actions with responsible person within agreed timescales.
  • Diary management and arrangement of meetings, events and conferences both internally and externally.
  • Creating and organising letters, emails, agendas and reports.
  • Maintaining software literacy e.g. Microsoft Outlook, Excel, Word, PowerPoint, etc.
  • Maintaining effective and efficient paper and electronic filing systems.
  • Operating an efficient message taking service for your Director.
  • Organising and recording travel arrangements.
  • Liaising and building strong relationships with other PAs and departments to ensure the smooth running of the office, including IS, catering and facilities.
  • Other ad hoc tasks e.g. purchasing, expenses etc

Key Skills / Qualifications needed for this role:

  • Strong PA experience.
  • High degree of energy, drive and enthusiasm with a proactive and positive approach.
  • Excellent communication skills, both written and verbal with a first-rate attention to detail.
  • Extremely well organised, able to multi-task, prioritise effectively and deliver results under pressure.
  • The ability to act with discretion and handle confidential information.
  • A true team player, willing to support colleagues to ensure demands are met.
  • Self-motivated and work on own initiative with minimum supervision.
  • Strong ability to build networks.
  • Ability to type professional letters, memos, agendas reports and collate Board papers.
  • Strong communication skills to deal with all levels of staff and customers.
  • Commercially aware.
  • Intermediate / Advanced MS Office skills.
  • Flexibility in working hours when required.
  • Educated to degree level (preferrable).
  • Proficient in Microsoft Outlook, Excel, Word, PowerPoint, etc.
