Asset & PPM Coordinator
Hybrid working with 2 days per week from home
Bupa Place, 102 the Quays, Salford Quays, Manchester M50 3SP
Permanent
Salary £24,900 - £25,800 per annum

As our Asset & Planned Preventative Maintenance (PPM) Coordinator you'll be responsible for ensuring the accuracy, integrity, and completeness of all asset data within the CAFM (Computer-Aided Facilities Management) system. This role will also ensure that Planned Preventive Maintenance (PPM) schedules are correctly aligned with asset information, statutory compliance requirements, and manufacturer recommendations.
How you'll help us make health happen
Ensure 100% compliance is maintained throughout the month in accordance with C365
Support Bupa and our Property Teams with contractor/contract mobilisation
Plan and book in compliance/PPM tasks in line with C365
Hold weekly internal compliance call to highlight any month risks
Assist Bupa in ensuring C365 is accurate and up to date
Assist Bupa in ensuring that the Helpdesk function is fully supported
Review and mange actions extracted from compliance tasks, obtain quotations for these remedial actions and add to our quotation portal
Reviewing vendors service data and assessing if works completed reflect the amount and works completed as per description on supplier's invoice, and also match the supplied quotation
Where vendors have not rendered the full service, admin to calculate the total accrued credit amount and update the Property Compliance Scheduling Manager
Constantly reviewing supply chains to supply information to team on which supply partners to use based on suitability and feedback from internal colleagues
Ensure that the compliance tracker is constantly updated on the Teams page to reflect the current compliance status of the respective site
Chase up engineers and suppliers for service data and upload to C365 dail
Ensure that the specific requirements are met for file naming formats for uploaded files
Ensure that reasons for missed services are noted on the compliance tracker and where the reason falls under Bupa's remit, to escalate to Lead
Engineer or Property Manager Hard Services
Compliance tracker to be updated weekly displaying most recent uploaded compliance records and service dates
Key Skills / Qualifications needed for this role:
IOSH Working Safely
You will be experienced in PPM delivery in a similar sized / complex organisation and have experience of service standards and how to delivery first class customer satisfaction
You will need to have strong interpersonal and communication skills combined with good IT knowledge (including Job Logic)
Experience of supporting the development and implementation of Hard FM specialist services that that reflects the needs of stakeholders
Understanding and knowledge of performance measurement techniques within the current Hard FM specialist services markets
Experience of Hard FM services for the effective maintenance of built and installed assets
Good working knowledge of standards and Compliance legislation as applicable to the Facilities Management market
Solid IT knowledge and understanding of Microsoft Office
Able to work well under pressure
Able to delegate where necessary
